The business challenge

Document management had to modernize alongside the move to SAP S/4HANA.

As the company transitioned from legacy systems including SAP ECC and Microsoft Dynamics AX, it needed a document management approach that could reduce SAP database usage, integrate with SharePoint, and support employees working through SAP Fiori.

—

Purchase orders, quality certificates, billing records, and other documents needed structured storage outside the SAP HANA database.

—

Reducing the volume of documents stored in SAP HANA was important for controlling database and infrastructure costs.

—

The new approach needed to integrate with the company’s existing SharePoint and Microsoft Azure environment.

—

Document workflows had to work with SAP Fiori, the interface preferred by the company’s end users.

The solution

SAP document management connected directly with SharePoint.

Following an evaluation of multiple options, the company selected docuflow for SAP and an OEM partner. The solution combined centralized document management, bidirectional metadata transfer, SharePoint integration, and support for SAP Fiori workflows.

Implementation approach

Centralize, connect, adapt, and support.

PHASE 01
Centralize

Purchase orders, lease agreements, quality certificates, billing records, and other documents were routed to SharePoint.

PHASE 02
Connect

Bidirectional metadata transfer linked document information between SAP and SharePoint.

PHASE 03
Adapt

The solution was adjusted to support document workflows through SAP Fiori.

PHASE 04
Coordinate

docuflow worked with global process owners to address requirements across SAP modules and workflows.

Key outcomes

Less document storage in SAP with a more flexible user experience.

Customer testimonial

“The people I worked with were just particularly friendly. They were so easy to work with. Getting on a daily call with them for an hour was very efficient. I was quite surprised at how efficiently we could complete setup, working remotely. I really enjoyed my experience working with VersaFile because I learned quite a lot.
